Taming the Wild Email

With thousands of emails messages constantly bombarding as email accounts, it becomes difficult to keep our heads above email. To tame this giant monster we must take conscious steps to make your way though the junk.

There are a few things you can do today to eliminate the virtual clutter from your life.

Some of these things are highlighted bellow:

Tab It!

There are tab/folder options available for you to take advantage of the wonderful virtual organizer - it will help declutter your email. Bellow are three different systems you can use to keep organized.

Priority System: This type of system is used if you are interested in maximizing efficiency and minimizing junk.

1.Priority A: this is a folder used for urgent emails and otherwise have a high level of consequence if left untouched.
2.Priority B: This folder is used for emails that are somewhat urgent or otherwise have a moderate degree of consequence if left unattended.
3.Priority C: This folder/tab will be used for emails of lesser importance and hold very little consequence if left alone.
4.Priority D: This folder is for emails you’d like to keep for fun but have no importance and are of no consequence if left untouched.

The rest of the email can be deleted! This system works best for people with business emails because you’ll know where your focus has to be when you dedicate your time to checking your email.

Name System: This system is oriented for people who have an interest in collecting emails from specific people. Personally, I use a combination of the former system and this one - so feel free to experiment…

1.(NAME): This folder will be used for all emails this particular person sends you. .. it’s that simple.

Category System:This system emphasis the category of each email. This helps you locate emails in a particular category with ease.

1.Business: This folder can be used for emails related to business…Pretty self explanatory, right?
2.Health: This folder can help you have all health related emails in one place.
Can you think of any others? Maybe technology, science, love, language, etc.. This system gives you the freedom to play around with names. Give it a shot!

Delegate It!

Being in business for yourself doesn’t mean you have to do things by yourself. Actually, quite the opposite is true. You’ll need a team if you want your business to succeed, and maintaining your business email can be a team endeavor.

Remember priority B or C? Since those emails don’t require your immediate attention it would be a wise idea to delegate the work. Try delegating it to your partner in crime; your secretary; your business partner or anyone you choose. Delegating work allows you the time and energy to more pressing endeavors.

Delete It!

After you’ve chosen a system and put it in place, delete the rest. Liberate yourself from unneeded, unwanted emails. Unless of course, you enjoy having tons of junk email in your account.

Get It Done!

Remember, work with the pressing things first. Preferably, the one with highest consequence and urgency.
